This notice explains what personal data FoodSafe Formulate processes, why it is used, and the rights available to people using the service.

01Who controls your data
FoodSafe Formulate is the controller for account administration, service communications and operation of this website. An organisation using the workspace is normally the controller for personal data it enters about its staff, clients, suppliers or contacts.

02Data we collect
We process account details, profile information, organisation membership, authentication events, product and compliance workspace content, support correspondence, service diagnostics and consent records.
- Account name, email address and sign-in identifiers
- Product formulations, supplier information and compliance documents
- Review, approval and audit history
- Technical security, device and usage information
03Purposes and lawful bases
We use account and workspace data to perform our contract, secure and improve the service, meet legal obligations, and pursue legitimate interests in preventing misuse. Optional marketing is based on consent and can be withdrawn at any time.
04Sharing and international transfers
Data is shared only with service providers needed for hosting, authentication, communications, support and AI-assisted features, under appropriate contractual safeguards. Where data is transferred outside the UK, we use a lawful transfer mechanism and suitable protections.
05AI processing
Content supplied to an AI drafting feature is processed to provide the requested draft. AI output remains a draft until a person reviews it. Do not submit unnecessary personal data or special-category data in prompts.
06Retention and security
We keep data only as long as needed for the service, legal obligations, dispute handling and security. Workspace owners should maintain their own retention requirements. We use access controls, tenant separation and audit records, but no online service can promise absolute security.
07Your rights
Under UK GDPR you may have rights to access, correct, erase or restrict personal data, object to processing, obtain portable data and withdraw consent. You may also complain to the UK Information Commissioner’s Office.
08Cookies and changes
Essential storage is used for authentication and security. Further detail appears in the Cookie Notice. We may update this notice when the service or law changes and will show the revision date.
